Diary of a PR PA

When potential clients approach me, some have a firm idea of what they need a Virtual Assistant to help with.

Others are less sure – they know they’re drowning in work and need to pass work on, but aren’t sure what.

To give a flavour of what tasks a Virtual Assistant can take on, here is a snapshot of what I’ve been working on over the last few weeks. Some of these are traditional PA tasks whilst others are specific to the PR industry which I’m experienced in given my 20-year career in the industry.

Traditional PA/admin:

  • Diary management
  • Creating and ordering business cards for client team members
  • Booking appointments for media to visit a client’s team at a trade show
  • Formatting creds and new biz PPT docs
  • Booking train fares and hotel rooms for client meetings
  • Researching Chairs of Housing Association Boards and finding their LinkedIn profiles
  • Ordering flowers and chocolates for client team birthdays
  • Collating costs to exhibit at trade events
  • Setting up a client team member on Toggl time tracking software
  • Updating Asana project management software with latest client team actions

PR specific:

  • Creating coverage reports using clients’ preferred formats – from simple Excel and PPT docs to specialist software like Ace Media and CoverageBook
  • Drafting copy and scheduling social media posts for several clients across a range of topics
  • Checking for coverage on Google
  • Drafting copy and updating several client’s websites with latest blogs/news stories 
  • Researching awareness days and adding reminders for relevant ones into client team diaries
  • Editing, formatting and submitting entries into the CIPR Awards
  • Collating coverage stats to compare 2020 campaign output with 2021 
  • Liaising with Kantar to update media monitoring search terms
  • Obtaining 2022 forward features and media packs
  • Ordering dog-themed merchandise for media mail out

I love offering this dual blend of PA and PR support as it really means that no two days are the same!
